This Privacy Policy explains how Bhagubai Damaji Automation Pvt Ltd (“DHONDI”, “we”, “us”) collects, uses, discloses, and safeguards personal data when you visit dhondi.ai, create an account, or use the DHONDI platform (the “Service”). We are committed to handling personal data - especially the data of students, who are often minors - responsibly and in line with India's Digital Personal Data Protection Act, 2023 (DPDP), and with global expectations such as GDPR, FERPA, and COPPA where they apply.
1. Our role: fiduciary vs. processor
When an institution uses DHONDI to manage its students, staff, fees, and records, the institution is the Data Fiduciary (controller) for that data and DHONDI acts as a Data Processor, handling the data only on the institution's instructions and to provide the Service. For data we collect directly - for example when you fill in a form on our marketing site or sign up for an account - we act as the fiduciary.
2. Data we process
- Account & contact data - name, work email, phone, institution name and role, and authentication details.
- Institution data - the records an institution manages in DHONDI, which may include student, parent, and staff details, admissions, attendance, marks and results, fees and payments, and communication logs.
- Usage & device data - log data, IP address, device/browser information, and product analytics used to operate and secure the Service.
- Enquiry data - information you submit through our Contact / Talk-to-Sales forms or sales chat.
3. How we use data
- To provide, maintain, secure, and improve the Service.
- To authenticate users and prevent fraud or abuse.
- To provide support and respond to enquiries.
- To send service and, where permitted, relevant product communications.
- To comply with legal obligations and enforce our terms.
We do not sell or rent personal data, and we do not use student data for advertising.
4. Student and children's data
Student data is collected and processed on behalf of the institution, for the institution's educational purposes only. We minimise what is collected, restrict access on a need-to-know basis, and apply the institution's role-based permissions. Where a data principal is a child, processing relies on the institution obtaining verifiable parental/guardian consent as required by law; we do not knowingly use children's data for tracking or targeted advertising.
5. Sharing and sub-processors
We share personal data only with vetted service providers who help us run the Service (for example, cloud hosting, communications delivery for SMS/WhatsApp/email, and payment processing), under contractual confidentiality and security obligations, and only to the extent necessary. We may also disclose data where required by law or to protect rights and safety.
6. Data security
We apply technical and organisational measures appropriate to the sensitivity of the data, including tenant isolation between institutions, encryption in transit, access controls and audit logging, and least-privilege administration. No system is perfectly secure, but we work continuously to protect the data entrusted to us.
7. Data retention
We retain personal data for as long as an institution's account is active and as needed to provide the Service, then delete or anonymise it within a reasonable period, unless a longer retention is required by law. Institutions may request export or deletion of their data on termination.
8. Your rights
Subject to applicable law, you may request access to, correction of, or erasure of your personal data, and may withdraw consent where processing relies on it. If your data is managed by an institution as fiduciary, we will direct your request to that institution. To exercise your rights or raise a grievance, contact our Grievance Officer at privacy@dhondi.ai.
9. Data storage and transfers
We aim to store personal data on infrastructure appropriate to our customers' requirements and applicable data-residency rules. Where data is processed outside its country of origin, we take steps to ensure it remains protected to the standard described here.
10. Cookies
Our marketing site uses a minimal set of cookies and similar technologies necessary for the site to function and to understand aggregate usage. You can control cookies through your browser settings.
11. Changes to this policy
We may update this policy as the Service and the law evolve. Material changes will be reflected here with a revised “Last updated” date.
